Move Preparation and Packing Instructions


  1. 10" x 12" x 18" cardboard boxes, tape and tape dispensers are provided by the University as containers for items to be moved. To assemble each box, tape along the bottom center seam and the bottom side seams of each box. The weight of the contents of each box should be under fifty pounds.

  2. During a move most furniture, while being handled, may be turned on its side, so they must be emptied before being moved. Therefore, the contents of all office furniture (except pull drawer file cabinets) and all loose items in each office or room must be packed in boxes.

  3. Pull drawer file cabinets (which contain only files) do not have to be packed. They can be safely moved with their file contents intact. If they have lockable drawers and the key is lost, a note to that effect must be taped to the front of the cabinet to be sure that the movers do not inadvertently lock the file.

  4. After boxes are packed and furniture emptied, they must be marked to insure that they are delivered to the right place. The moving company will supply preprinted stick-on labels for their purpose. The destination location, by room number must be written on the label. More complicated moves will require more specialized labeling methods for their special needs.

  5. On the move day a person or persons from each department or area being moved must be present at both the area being moved from and the destination area in order to answer questions and provide direction to movers.

  6. A diagram or drawing (can be freehand) depiction each room's furniture layout must be provided and taped on the destination door on move day, in order to insure that all items are placed properly. The movers do not return to arrange furniture.

  7. It is the responsibility of the department and/or those responsible for planning to be sure that those items being moved into each room actually fit where they are to go.

  8. It is recommended that plants, posters and pictures on walls and other personal items be moved by the owners to insure their safety. If they fit into the boxes provided, they may be packed for the movers to move, but owners should be aware of the higher risk involved.
